Maximum numbers allowed.

To ensure the safety of all persons using the building and its facilities it is important that we do not exceed the numbers stated below, these include attendees, organisers, caterers and others.

Full Hall: 

Theatre style (chairs only) 100 persons, half hall 50 persons

Conference style (tables/seating) 100 persons, half hall 50 persons

ROOM HIRING TERMS AND CONDITIONS – Nov-2025

For the purpose of clarity, the term Hirer shall mean either the individual or, where the hirer is an organisation, its authorised representative.

1. The Hirer shall, during the hire period, be responsible for the supervision and care of the fabric and contents of the Premises, prevention of damage however slight and the behaviour of all persons using the Premises whatever their capacity.

2. The Hirer shall not use the Premises for any purpose other than that described in the hiring agreement/booking form and shall not sub-hire or use the Premises or allow the Premises to be used for any unlawful purpose or in any unlawful way nor do anything or bring onto the Premises anything which may endanger the same or render invalid any insurance policies in respect thereof.

3. The Hirer shall not allow any alcoholic liquor to be brought into, sold or consumed on the Premises.

4. The Hirer shall be required to carry their own Public & Employers liability and equipment insurance. KYP does not carry any insurance for individual organisations.

5. The Hirer shall be responsible for obtaining such licences as may be needed, for example from the Performing Rights Society (PRS), Phonographic Performance Ltd (PPL), or otherwise and for the observance of the same.

6. The Hirer shall ensure that nothing is done on or in relation to the Premises in contravention of the law relating to smoking, gaming, betting and lotteries.

7. The Hirer shall comply with all the conditions made in respect of the Premises by the Fire Authority, Local Authority, or the Local Magistrates' Court or otherwise, particularly in connection with any event which includes public dancing or music or other similar public entertainment.

8. The Hirer shall (where agreed beforehand), if preparing, serving or selling food, observe all the relevant Health and Hygiene Legislation and Regulations.

9. The Hirer shall ensure that any electrical appliances brought into the Premises and used there shall be safe and in good working order. All usage is to be in a safe manner and the item(s) must be tested to comply with current regulations (Portable Appliance Testing).

10. The Hirer shall reimburse KYP for the cost of repair or replacement of any damage done to any part of the property including the curtilage thereof or any of the contents, furniture, fittings and equipment which may occur during the period of the hire or as a result of the hiring.

11. The Hirer shall take all precautions for the safety of those present. All corridors and Fire Exits must be kept clear of any obstruction at all times.

12. The Hirer shall ensure that the minimum of noise is made on arrival and departure and that the playing of any music is kept to acceptable levels.

13. The hirer is responsible for complying with all H&S measures and including the Government’s Covid Guidelines.

14. The Hirer shall ensure that no dogs except guide/assistance dogs are brought into the Premises.

15. The Hirer shall, at the end of the hire period, be responsible for leaving the Premises and surrounds in a clean and tidy condition and any items removed from their usual positions properly replaced, otherwise KYP shall be at liberty to make an additional charge. All rubbish which has been bagged up must be taken away from the premises.

16. The hirer shall ensure that they remove any of their equipment and materials brought onto the premises at the end of each session.

17. Where the hirer wishes to store equipment/materials on KYP premises this will be subject to written agreement detailed on the booking form. Any such items must be stored safely in the location agreed at the end of each session. KYP will not be responsible for any damage to such equipment/materials.

18. In the event of the Premises or any part thereof being rendered unfit for the use for which it has been hired, for reasons outside of KYP’s control, KYP shall not be liable to the Hirer for any resulting loss or damage.

19. The Hirer shall ensure that any activities for children under eight years of age will comply with the provisions of The Children Act 1989 and that only fit and proper persons have access to the children. In addition, with any event involving persons less than 18 years there must be at least 1 Adult per 10 young persons present at all times.

20. The Hirer shall ensure that the maximum number of persons present in the Premises at any one time shall not exceed the number allowed by regulations.

21. The Hire accepts that failure to observe and comply with the above Conditions and Terms may result in loss of any Deposit and cancellation of any further bookings.

22. If putting up any decorations, the Hirer shall use only "Blue Tack”.
Anything that could damage the surface including drawing pins, tacks or Cellotape must not be used under any circumstances. Any damage caused will fall into section 10 above.

23. The Hirer shall not remove, without the prior permission of KYP, any existing signage, information, etc. attached to any of the walls within the Premises.

24 The Hirer agrees to pay a returnable booking fee of £200 when confirming the event, the booking fee will be held against any damages or expenses incurred by KYP as a result of the Hirers activity.

25 Cancellation charge, up to 6 weeks prior to the event £50, within 6 weeks of the event £200 which will be deducted from the £150 booking fee.

26. The Hirer must vacate the Premises by the stated end time of the booking. The Hirer agrees that if the Premises have not been vacated within 15 minutes of the stated end time, then an additional hour hire fee will become payable.
